Associate Director – Engage! Cleveland

Job Type: Full-time 

Office Environment/Address: Hybrid – 50% of time in office (3135 Euclid Ave., Suite 103, Cleveland, OH 44115) and 50% of time from home (subject to change). In addition to the office environment, will participate in off site programs and meetings. 

Job Summary: The Associate Director will oversee internal operations and serve as second in charge of our nonprofit organization. This individual will ensure smooth day-to-day functioning of the organization, oversee key committees, and provide strategic input in areas such as budgeting, HR, research, and performance metrics. The role also includes direct supervision of staff members, including the Relationship Manager, Events Manager, Marketing Manager, Office Manager and Contract Accountant. As a small organization, the position requires you to wear many hats and shift directions often throughout the day. 

Primary Responsibilities:

Leadership/Management:

  • Supervise staff reports, including Relationship Manager, Events Manager, Marketing Manager, Office Manager, and Contract Accountant.
  • Manage payroll by creating input sheets and submitting information.
  • Conduct weekly 1:1 meetings with staff to provide support and guidance.
  • Approve PTO requests
  • Complete annual performance evaluations for staff and assist in goal-setting for the upcoming year.
  • Handle all outside reporting.

Internal Operations:

  • Oversee the day-to-day operations of the organization, ensuring smooth functioning across all departments.
  • Supervise research projects and provide oversight to ensure alignment with organizational goals.
  • Assist in the creation and monitoring of organizational metrics and goals.

Finance Management:

  • Review monthly financials and provide strategic recommendations for fiscal improvements.
  • Approve staff expenditures and ensure they align with the organizational budget and approved policies.
  • Oversee accountant and office manager in ensuring expenses align with budget and following up on outstanding AR.

Committee Oversight:

  • Oversight of the Governance Committee to ensure effective operations and compliance.
  • Oversee the Finance Committee to ensure sound fiscal management.
  • Create agendas and materials for committee and board meetings.
  • Track and manage board prospects.
  • Conduct annual assessment of board members.
  • Monitor and adjust annual budgets as necessary.
  • Handle all outside reporting.
  • Additional committee oversight as needed.

Additional Responsibilities:

  • Provide strategic advice to the President and Board of Directors on new developments, opportunities, and operational improvements.
  • Serve as a backup to the President for external relations as needed, representing the organization at events and meetings when required.
  • Perform other related duties as assigned.

Required Skills/Abilities:

  • Exceptional team player who excels in collaboration.

  • Excellent organizational skills and attention to detail.
  • Exceptional time management skills and the ability to meet deadlines.
  • Ability to prioritize tasks and delegate when appropriate.
  • Ability to excel in a fast-paced environment.
  • Proficient with Microsoft Office Suite, Google Docs, and CRM systems.
  • Available to work outside of normal office hours occasionally.
  • Ability to transport self and event materials to offsite events.

Education and Experience:

  • Bachelor’s degree in nonprofit management, business, or a related field required.
  • At least 5-7 years of experience in nonprofit management, operations, or development with proven success.
  • At least one year of previous supervisory/management experience.
  • Experience in budgeting, management, and organizational oversight preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
  • Physical stamina and ability to work onsite and offsite events/meetings that last several hours or multiple days.
