Major Duties and Expectations:
Special Events
- Lead all logistic activities to reach budgeted goals for Big Wheel Relay, the signature event of the associate board, New Partners. Including solicitation of raffle items.
- Assist with all special events, including the annual benefit, donor recognition, and donor cultivation events, ensuring participation and financial goals are met.
- Develop complete event plans, including logistics, meetings, mailings, timelines, and post-event follow-up.
- Coordinate event committees, support peer-to-peer fundraising, and support mobile bidding, raffles, and auctions.
- Collaborate with the marketing department on creating event collateral.
- Conduct post-event actions, including thank-you letters, surveys, tracking gifts, and preparing reports.
- Attend events and provide day of support. Events will often take place outside of normal business hours and must be available some evenings and weekends.
Development Database (DonorPerfect/Raiser’s Edge)
- Maintain the donor database, ensuring accuracy and integrity of donor records and data.
- Process and acknowledge all contributions in a timely manner, including drafting/editing personalized acknowledgments.
- Generate and analyze reports for donor stewardship, event tracking, and fundraising appeals.
- Reconcile gift reports with the Finance Department and maintain records for all contributions, including multi-year campaign pledges.
- Manage online giving platforms and update policies and procedures related to the database.
- Create electronic communications in department e-solicitation platform, Constant Contact.
- Audit data for accuracy, delete duplicate records, and ensure proper coding.
- Create dashboards, reports, and queries to track donor activity.
Development Department Support
- Assist in the production and mailing of annual fund solicitations and stewardship communications.
- Assist in the coordination of mass mailings for invitations, appeals, newsletters, and thank-you letters.
- Schedule and oversee volunteer administrative support as needed.
- Provide general office and administrative support for the Development Department including support of meetings. Prepare for and attend department meetings as needed.
- Support communication with donors, including thank-you calls, addressing payment-related questions, and assisting with event registration.
- Oversee the logistical management of the Proud to be CHSC employee giving campaign. Develop and distribute monthly Proud to be CHSC newsletter, interact with colleagues to gather content, and conduct personal visits to encourage participation. Plan and coordinate annual employee recognition gifts.
Grant Support:
- Assist the Senior Grants Manager with grant applications, including data collection and narrative support.
- Support the Grants Manager by scheduling grant meetings, compiling relevant documents, and preparing grant proposal packets
- Participate in all grant-related meetings, ensuring accurate record-keeping and follow-up actions.
- Provide support for the preparation and submission of grant reports, ensuring compliance with deadlines and grant requirements.
Other Duties
- Organize and deliver office mail.
- Provide support for donor cultivation, stewardship, and fundraising events.
- Perform other duties as assigned by the supervisor.
- Work will be performed in a hybrid environment with a minimum of 2 days onsite and 3 days remote. Weekly duties may vary and will require more onsite work hours than remote.

Education/Experience/Skills:
- Bachelor’s degree required.
- Minimum of two years of professional experience in a development or fundraising environment.
- Proficiency in relational donor databases (e.g., DonorPerfect, Raiser’s Edge), Word, and Excel.
- Strong organizational skills, effective communication abilities, and attention to detail.
- Experience coordinating events and managing volunteers is a plus.
- Ability to effectively communicate with all levels of employees, and community representatives; excellent spoken and written communication skills preferred.
