Job Summary: The Events Manager is an integral member of Engage! Cleveland’s small, but mighty team. The role plans and executes all our events.
Location: Hybrid, typically 2-3 days in the office, 3135 Euclid Avenue, Cleveland, OH and 2-3 work from home each week.
Primary Responsibilities
Events/Programs
- Manage the planning, execution, and evaluation of 10 signature events per year, which includes multi-day events and a combination of in-person and virtual programming.
- Event management support for multiple events and meetings including identifying dates, locating meeting space, securing speakers, ordering food/drink, coordinating event kits for virtual events and other associated needs.
- Use Teams to host virtual events for Engage! Cleveland, which includes scheduling on the platform, sending calendar invites and providing tech support
- Create event materials which include agenda, speaker ask lists, PowerPoints, remarks, reminder/thank you emails.
- Public speaking by providing speaking remarks, speaker introductions, etc. at events.
- Manage event calendar by assisting with the planning, promotion and execution of events and programs.
- Provide post-event evaluation including final budget, recommendations, action items and satisfaction.
- Track in-kind donations from events and programs via a spreadsheet and provide to our accountant.
- Provide sponsors with marketing benefits for their event sponsorships including distributing ticket promo codes, coordinating speakers, logo placement, etc.
- Manage event related partnerships including venue trade, program partners, in-kind donations, etc.
- Ensure timely communications and exceptional attendee experiences for in-person and virtual programs.
- Coordinate invoicing for event tickets.
Leadership Council/Board/Committee Management
- Manage Programs Committee of Board of Directors by developing agendas/meeting materials, note-taking, generating a list of meeting follow‐ up tasks, contacting meeting participants, etc.
- Manage Governance Committee of Board of Directors by developing agendas/meeting materials, note-taking, generating a list of meeting follow‐ up tasks, contacting meeting participants, etc.
- Review ongoing feedback from the Leadership Council on programming, ensuring topics stay relevant and serve the community.
- Coordinate Leadership Council volunteers as needed.
Marketing
- Assist Marketing and Communications Manager by sharing content for marketing collateral, website, e-blasts and social media.
- Assist with graphics for social media, website and event programs using Canva.
- Assist with coordination of paid social media campaigns.
General/Other
- Basic office administration such as answering the phone, filing, managing the info email account, etc.
- Become fully knowledgeable of Engage! Cleveland’s mission, vision, strategy and programs
- Develop and coordinate project work plans intended to accomplish goals and objectives for complex programs and projects, track project milestones and deliverables
- Build and maintain productive relationships with the staff, Board, volunteers and other partners
- Attend community meetings/events as a representative of Engage! Cleveland
Qualifications/Skills
- Bachelor’s or advance degree, preferably in event management, nonprofit management, or related field.
- Must have 2-5 years’ experience.
- Knowledge of Microsoft Suite, Social media platforms, Teams familiarity with event platforms, Neom CRM or similar CRM systems.
- Excellent written and verbal communication skills as well as strong listening skills with the ability to communicate effectively with a wide variety of constituents.
- Superior time management, interpersonal and organizational skills with the ability to effectively prioritize and complete multiple competing projects and tasks in a timely manner with great attention to detail while hitting deadlines and goals.
- Candidate must pass a background check and drug test.
- Position is required to work occasional nights and weekends as needed.
