Office Administrator (part-time, hybrid) – Engage! Cleveland
Job Summary
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for managing operations, providing exceptional service, and supporting various administrative functions. This role requires a detail-oriented individual who can multitask effectively while maintaining a positive and professional demeanor.
Primary Responsibilities
Office Support
- Manage front desk operations, greeting visitors and directing them appropriately
- Provide outstanding customer service and support to clients and staff
- Handle incoming calls and emails, responding to inquiries in a timely manner
- Maintain accurate records and manage office supplies inventory
- Assist with scheduling appointments and managing calendars primarily for the President
- Perform data entry tasks, including typing, scanning and proofreading documents
- Create and maintain email and mailing lists for internal and external stakeholders
- Utilize Microsoft/Google Suite for document creation, spreadsheets, and presentations
- Support financial operations by depositing checks, calling upon outstanding accounts receivables
- Assisting with internal operations such as paying bills, managing vendors relationships, etc.
- Ensure the office environment is organized, clean, and conducive to productivity
- Data entry into our CRM system
- Maintains manual and electronic documentation and files, particularly more complex or sensitive files.
- General IT/tech set-up/support
- Additional duties may be assigned
Meeting/Event Support
- Provide support for internal and external meetings, events, programs and activities including scheduling, technology set-up, and execution.
- Assist with events day-of including event set-up, registration, tear down, and attendee follow up
- Create PowerPoint presentations
- Draft and send email reminders.
Qualifications:
Required:
- Must have 1-3 years related administrative/technical computer experience with typing skills of 50WPM or greater.
- Knowledge of Microsoft Office, Outlook. Teams PowerPoint, Word, Excel and data entry required.
- Strong business presence and communication skills when dealing with general public and businesses and community leaders.
- Superior time management, and a high degree of accuracy and attention to detail.
- Individual must be very customer service oriented, have excellent skills in telephone etiquette, communication, data entry, typing, grammar, filing, organization, and intermediate technical skills.
Education and Experience:
- Minimum High school degree. Preferred Bachelor’s degree in nonprofit management, business, etc.
- At least 1-2 years of administrative/office support.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Schedule:
- Willing to work with the right candidate on an ideal schedule from 20-25 hours a week. Ideally partly in office and partly from home and include some flexibility to attend events occasionally outside of a traditional 8am – 5pm schedule when needed.
