Office Concierge/Administrator – FIT Technologies

SUMMARY

FIT Technologies is a growing organization in need of a dedicated person to act as Ambassador for FIT with stakeholders and
visitors, handle office and meeting tasks, take responsibility for the organization and management of the office, and assist
with various projects as requested. This position is onsite in our headquarters in downtown Cleveland.

 

PRIMARY RESPONSIBILITIES

 

• Maintain common areas to ensure an atmosphere and an image that is highly professional while being visitor friendly.
• Maintain kitchen area to ensure organization and tidiness, as well as adequate level of supplies.
• Clean and organize throughout office to ensure safe and comfortable workspaces.
• Coordinate tasks for in-house meetings or special events, including preparation, food catering, set up and clean up.
• Answer phones and greet guests with polite professionalism.
• Care for office plants.
• Distribute mail in office.
• Research and act as contact for company event reservations, rentals, and catering.
• Prepare materials for meetings and presentations using various tools like Microsoft PowerPoint, Excel, and Word.
• Draft and send professional and courteous correspondence.
• Coordinate and manage FIT’s sportswear portal and act as primary contact to supplier.
• Coordinate staff morale programs and purchase prizes.
• Coordinate new employee onboarding tasks and schedule trainings.
• Maintain office supply inventory and manage ordering processes.
• Order branded materials for events and programs.
• Ensure operation of equipment and office, coordinate with vendors for follow up, manage onsite work by contractors/vendors.
• Handle data entry, tracking, or other similar projects.
• Run errands when requested.
• Support executive team and other managers with specific projects/tasks.
• Manage other office duties or responsibilities as needed.

 

KNOWLEDGE AND SKILL REQUIREMENTS

 

• Ability to work independently in fast-paced environment.
• Ability to shift gears and reprioritize quickly as needs change.
• Professional, confident, reliable, approachable, energetic, and positive demeanor.
• Strong written and oral communication skills.
• Organizational and time management skills with attention to detail and ability to follow-through on tasks.
• Strong proficiency in Microsoft Office, Teams, Microsoft Excel and Microsoft Word.
• Demonstrated ability to:
• Work and adapt in a fast-paced, evolving environment.
• Develop and follow processes and protocols.
• Meet deadlines and to manage multiple tasks simultaneously.
• Learn software tools/applications (ticketing systems, Microsoft Teams, QuickBooks, Doodle, online ordering systems, Survey Monkey, etc.).

• Maintain confidentiality with regards to the information being processed, stored or accessed
• Drive your own vehicle (or in the company van) for errands in/around Greater Cleveland.
• BA/BS or equivalent work experience.

 

WORKING CONDITIONS + REQUIREMENTS

 

Working conditions are normal for an office environment and will require:
• Reliable transportation, valid driver’s license, and car insurance
• May require occasional evening and weekend work
• Must be able to lift/carry 25 lbs.
