Hunger Network, a non-profit organization which envisions that no one goes hungry and no food goes to waste seeks a full-time Office Coordinator. Hunger Network is the largest grassroots food relief and recovery organization in Cuyahoga County that focuses on minimizing food waste and fighting food inequity and injustice by maximizing our community’s access to culturally relevant, nutritious foods.
Our programming includes coordination of a consortium of 70+ hunger centers that are strategically placed across the county which provide food supplies, hygiene items, and hot meals to our neighbors who need it most. Additionally, we bridge the gap between hunger and food waste through the innovative Food Rescue Hero app, which operates via a direct transfer model to assure fresh food is delivered daily into our local neighborhoods.
Position Summary:
The Office Coordinator is responsible for performing a number of administrative duties and supporting organization staff. The ideal candidate is highly self-motivated, professional, and capable of managing work and prioritizing tasks in an energetic office environment. Possess excellent communication skills, emotional intelligence and the ability to remain calm under pressure when interacting with the community. This position reports to the Operations & Data Manager.
Key Responsibilities: Communication & Correspondence Management:
• Handling phone calls and transferring callers as needed.
• Greet and assist customers for the MidTown Market Pantry and visitors for meetings.
• Managing schedules for conference rooms and community spaces.
• Managing incoming and outgoing emails, faxes, mail and packages.
• Organizing records and important documentation. Supply and Facility Management:
• Monitoring and ordering office supplies and break room essentials.
• Submitting work orders and scheduling repairs for office spaces and equipment.
• Coordinating repairs and services with vendors.
• Set up and support for meetings & events, including food orders, meeting room scheduling, and physical set-up & cleaning Office Support:
• Coordinates and follows office policies
• Provide administrative support to leadership team, special events and projects as needed.
• Typing & preparation of minutes, meeting packages, meeting notes and action items.
• Develop a variety of materials using Microsoft Office products
• Support to MidTown Market Food Pantry as needed Contribute to a strong organization:
• Contribute to the visibility of the organization by representing Hunger Network at events
• Bring ideas from events, meetings, etc. back to the organization to help our on-going effort to understand the needs of our community. Qualifications and Skills Required
• Associate degree in business administration or related field.
• 2+ years of experience as an Office Coordinator or similar position reporting to senior management.• Proven ability to maintain a high degree of confidentiality, demonstrated poise, tact, and diplomacy.
• High degree of cultural competence and awareness of the diverse cultures served by Hunger Network
• Strong organization, time management, project management, and problem-solving skills.
• Effective communication, writing, and interpersonal skills.
• Advanced skills in Microsoft Office Suite required. Qualifications and Skills Desired
• Multi-lingual: Spanish and/or Chinese
• Experience with Ring Central Admin Portal, programming phone system settings, recording auto-attendant.
• Experience with Vendor and Facility management. Competencies
