Job Summary: The Operations Assistant supports all facets of our nonprofit working with our team on executive support, office administration, banking, events and development. As a small organization, the job requires you to wear many hats and shift directions often throughout the day.
Primary Responsibilities
Executive Support
- Maintains calendars for President by scheduling meetings and sending calendar invitations.
- Assists President with any travel plans.
- Assists President with obtaining and distributing tickets from partnerships.
Office Support
- Provide filing, scanning, copying, fax services, and additional clerical support services as needed.
- Directs office activities and functions to maintain efficiency and compliance with company policies.
- Oversees telephone services, email correspondence, and mail distribution.
- Maintains office supplies inventory and places orders.
- Maintains manual and electronic documentation and files, particularly more complex or sensitive files.
- Schedules meetings of Board, committees and for President.
- Onboards new board/committee members by sending calendar invites, documenting paperwork, etc.
- Schedules room and desk reservations via Zoom scheduling platform.
- General IT/tech set-up/support
- Adds job postings and civic postings to back end of website.
- Performs other related duties as assigned.
Event Support
- Prints event materials such as name tags, booklets, attendee lists, etc.
- Day of support for events and programs including handling logistics, registration table, etc.
- Research and outreach for event venues, programs, caterers, etc.
- Presenting and public speaking on occasion including providing brief remarks at events
Development
- Maintain and update contact databases in NEON CRM and Microsoft Outlook.
- Leadership Council administrative management including onboarding and offboarding council members, scheduling meetings, emailing calendar invites, attending meetings, etc.
- Oversee two silent auctions each year.
Banking
- Makes bank deposits of checks assisting President and Accountant including copying and emailing.
- Follows up on outstanding accounts receivable by mailing or emailing invoices.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well in a high-paced environment.
- Solid understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite and Google Docs. Knowledge of WordPress, Doodle, and CRM systems preferred.
- Available to work outside of normal work hours on occasion
Education and Experience:
- Minimum High school degree. Preferred Bachelor’s degree in nonprofit management, business, etc.
- At least 1-2 years of administrative/office support.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Salary Range: $40,000 – $45,000/annually commensurate with experience. Position does not include benefits, but a stipend is provided in lieu of benefits.
